We provide access to multimedia content for healthcare professionals through our web, desktop and mobile products to help keep healthcare professionals abreast of the latest developments in cardiovascular medicine.

What information do we collect?
We collect your personal information when you use our services and/or register for our products using our online registration forms, subscribe to one of our journals, respond to one of our promotions or register to view our online content (including our live broadcast and video streams) or otherwise interact with Radcliffe Group Ltd and/or its licensed affiliates. We collect information about how you use our services with cookies and other tracking technologies.


Account and profile information
We collect and store the information you provide. Examples of the information we collect automatically when you register to use our services include your name and contact information, including email address, location, medical licence number, data on your company and position within that company and preferences. We also automatically collect other information about your use of our sites, including data on your IP address, browsing history on our site (entry/exit pages) and the type of browser and device you use to access our services. We use this information to provide you with a better service experience, but it also allows us to provide services that might have copyright restrictions in a certain territory, or to deliver content relevant to your specific location.


Social Media 
If you log in to our websites or interact with our online services using social media (Facebook, LinkedIn Twitter, etc.) these sites may pass us information in accordance with their own privacy policies. Any information you post on social media platforms about yourself may be viewed by other people (including search engines) over which, we have no control. You are responsible for the information you choose to post and acknowledge that this may be collected by third parties.


Events
If you attend one of our events, either online or offline, we will collect the following information for the purposes of delivering and facilitating the event: first name, last name, email, affiliation/organisation, country and area of expertise. We will ask you if you wish to opt into marketing but won't send you any information unless it is relevant to the event you are registering for unless you have agreed to receive marketing for future events or for wider content provided by us.


Editorial Boards
If you join one of our journals as an editorial board member or editor-in-chief, we will collect the following information for the purposes of you fulfilling the role: title, first name, last name, email, affiliation/organisation, educational credentials, country, likeness, biography and area of expertise. We will store this information in our internal databases for purpose of you being able to deliver on this role and so that we can contact you in relation to your role. These details will be published on our website on the editorial board and author profile pages.  


If you contact us
If you contact us (e.g. via an online form, via email, etc.), we may store your information in our CRM for the purposes of responding to your contact. We may also store copies of emails and our responses in our email service.


Recruitment
If you apply for a job, then we will collect and process relevant information (e.g. your CV, application form, etc.) for the purposes of considering you for the position. If your application is successful we will keep this information in your employee file, otherwise, if unsuccessful we will delete it, no later than 6 months after receiving the application, unless we have a lawful reason to retain it, including because you have consented for us to keep your information on file for future opportunities.


Employees
If you work for us you will be provided with a separate employee privacy policy.


Supplier or contractors
If you are one of our suppliers or provide contractor services to us, we will collect the minimal amount of information about you and your services as required, to make use of your services and deal with invoices and payments. Such information will be stored in our accounting software for the purposes of our accounts and will be retained accordingly.

Individual employees within our business may also retain your contact details within their email application or via business cards that you may have provided us.


Purchase of assets
We may buy assets which can include personal data from external sources such as professional medical list brokers. We will never sell your data - ever.


Cookies
Our websites use cookies that are created when you use a browser to visit a website and are vital to assist in the running of our web services. A cookie is a text file stored on your computer or mobile by our web server. Only our webserver can retrieve the cookie which is unique to your web browser. We request your permission to use cookies via a pop-up when you visit our website. Cookies track your movements on a website, resume where you left off, and remember your details and preferences. We use cookies to identify users who have logged into the website (including geo-location), to build a user profile and to 'remember' you, which eliminates the need for the user to re-enter registration data/passwords upon each visit to the website and to check who has a registered an account in order to enable registered users to access to our journal content. This all makes the interaction between you and our website faster and easier. We also use cookies to store your preferences and interests in our services; to track performance and analytics to better understand the user journey (by observing how you navigate a webpage), and to identify areas for improvement in navigation and the content we provide. This enables us to provide you with a more tailored and improved website experience.


To opt-out of using cookies, you can simply reject/block the cookie notification when you visit our website or by altering your browser settings, you can refuse cookies completely. You can also delete cookies that may already be set. Users who opt out of using cookies may still access the content on our website although not all features may be available; for example, you will be required to log in every time you visit us.

How do we use the information we collect?
Organisations must have a legal reason to use your personal information. Below are the relevant reasons we use the information we collect from you with some information on how we do this:


For personalisation and communication
We use your information to identify you in order to provide our Services; to provide you with a swifter login experience; to customise the user experience and provide a personalised service. For example, we may from time to time contact you via direct marketing with new content we think you might be interested in based on the preferences and interests you identified at the time of registration. We may contact you to confirm transactions such as confirmation upon registration, webinar and live-stream registrations and subscription confirmation. Communications may be received by email, post or telephone.


Customer support
We use your information to resolve disputes and troubleshoot problems as needed, such as if you have problems accessing your account or to repair site services or analyse crash data. We also use information about you to verify accounts and monitor suspicious activity.


For marketing and promotional purposes
We use your information to measure interest in our services, inform users about services and updates; and from time to time communicate marketing and promotional offers to you based on your chosen preferences.

In some instances, when you use and visit our website, some adverts may be displayed on your devices. We collect information using cookies, Google Ad Manager and Google Analytics to help us understand if you have clicked on adverts or engaged with this content, but your personal information is never shared with third parties. We may share marketing communications with you from third parties where you have opted in. You can choose to control whether to receive these communications at the time of registering for our services or anytime thereafter by updating your preferences.


For Custom and Lookalike Audiences

For advertising purposes, we occasionally use information about our customers to generate a "lookalike audience" or a “custom audience” of prospective customers through the Facebook platform. This allows us to target advertisements on Facebook to current customers and potential customers who appear to have shared interests or similar demographics to our existing customers, based on the platform’s own data.

We typically do this by uploading a list of email addresses of our customers who have consented to receive Marketing from us. Individuals are able to opt-out from their email addresses being used in generating Facebook audiences by unsubscribing from all of our Marketing.

When generating lookalike audiences, Facebook's policy is to irreversibly hash (encrypt) such lists prior to uploading, match the hashed data against their own customers, generate the lookalike audience, then delete the uploaded list and use it for no other purpose. We do not have access to the identity of anybody in the lookalike audience unless they choose to click on the ads.

The email addresses used to generate Facebook’s custom audiences are also hashed by Meta prior to using it. No new identifying information is learned by Meta about our customers.

Based on this, we believe that generating lookalike and custom audiences poses little or no threat to the privacy of our customers.


For research and development
We use your information to support product development to provide content that is better suited to your area of interest and your browsing history to track trends in usage and to identify and troubleshoot page issues.


For contract fulfilment
We process your information in order to fulfil a contract we have with you. For example, we will use your personal information to provide you with access to products you have signed up for, such as an online webinar or live stream or to access a digital or print subscription to our journal, or process payment in return for your services. We will also use customer information to take payments for products and services such as journal subscriptions and this information may be used to verify payment details.


With consent
If you correspond with any of our titles or interact with us by using polls, comments, messages, emails or social media, we may request to use information about you, for other purposes not specified above, such as to publish endorsements or features for the website. We will always seek permission and this may be anonymised if preferred.


For legitimate interest
We may use your information where there is a legitimate interest to do so. For example, to help achieve our business objectives or if it will be of benefit to someone else. We will only do this where it is fair and lawful to do so and in accordance with your privacy rights.


How we share information
Your information may be shared between the Radcliffe Group affiliates as listed in the ‘About us’ section in accordance with this policy.


Service providers
We do share your information with third-party providers we work with to provide our services, which includes companies we work with for website development, content management, backup and storage. They may therefore need to view and access information about you. We may share your name, and email address but we will never share your telephone number.


Third parties
We may share your personal information with Radcliffe’s affiliates, partners and third parties where you agree to do so. This may include third-party providers that direct you to other websites outside of our own privacy policy. If you register for content after opting out, we may share your information with the sponsor(s) of that content.


We may share information about your engagement with any of our services including receipt and/or action with our emails, activity on our sites including content and/or advertisements viewed and actions are taken or personal information otherwise provided by you.


We may disclose personal information to respond to legal requirements, enforce our policies, respond to claims that a posting or other content violates other's rights, or protect anyone’s rights, property, or safety. We may also share personal information with corporate affiliates who help detect and prevent potentially illegal acts and provide joint services, and service providers who help with our business operations.


How we store your information

We store digital information we hold about you with a secure file hosting provider and a private server based in Ireland. We use many tools to protect your personal information against unauthorised access and disclosure, but no security system is impenetrable, so we make no guarantees. Any physical data we hold on you, such as a signed contract, is housed in a secure and locked filing cabinet within our alarmed premises.


We work with third parties including Drupal, Marketo, Swoogo, AWS, Cognito Forms, Wisepops, Pigeon Hole and Editorial Manager to securely store your information.


Retention
Your personal information is retained while there is a legitimate reason to do so unless you request its removal. We will remove details as soon as is reasonably possible. If you ask to unsubscribe from our services, we would still need to retain your name and contact details for suppression purposes, for example, if you did not want to receive direct marketing from us. Personal information from inactive accounts is retained to comply with legal obligations, prevent fraud and resolve disputes.


How to control the information we collect from you

Under current data protection legislation in the UK, you have rights as an individual which you can exercise in relation to the data we store and process about you. You can find more information about your rights on the Information Commissioner’s website: https://ico.org.uk/for-the-public/.

Specifically, you have the following rights:

  • The right to have any incorrect information about you corrected
  • The right to ask us, if applicable, to delete your data
  • The right, if applicable, to restrict the processing of your data
  • The right to request a machine readable export of the data we have collected from you
  • The right to object to our processing of your data, including the right to withdraw consent where we were required to ask you for consent to process your data
  • Rights to restrict any automated processing where the outcome would have legal implications, and rights to limit profiling

At any time, you can ask for access to your information and can update your details and preferences, unsubscribe, restrict or request that we remove your details from our database. You can do this by logging into your account and editing the settings within your profile or by emailing us directly at dataprotection@radcliffe-group.com


Patient Privacy
Patients have a right to privacy that should not be infringed without informed consent. Identifying information, including patients' names, initials, or hospital numbers, should not be published in written descriptions, photographs and pedigrees unless the information is essential for scientific purposes and the patient (or parent or guardian) gives written informed consent for publication. Informed consent for this purpose requires that a patient who is identifiable be shown the manuscript to be published. Authors should identify individuals who provide writing assistance and disclose the funding source for this assistance.


Identifying details should be omitted if they are not essential. Complete anonymity is difficult to achieve, however, and informed consent should be obtained if there is any doubt. For example, masking the eye region in photographs of patients is inadequate protection of anonymity. If identifying characteristics are altered to protect anonymity, such as in genetic pedigrees, authors should provide assurance that alterations do not distort scientific meaning and editors should so note.


The requirement for informed consent should be included in the journal's instructions for authors. When informed consent has been obtained it should be indicated in the published article.

Changes
We may update this policy at any time. You should check whether our terms and conditions have been updated by visiting them on a regular basis. If we make any changes we will notify you by including a version and date at the footer of this notice.
